Business Administration Officer
Cleared Recruitment is supporting a leading global organisation within the aerospace and defence sector in the search for a Business Administration Officer to join their Sydney team.
This is a great opportunity for an organised and proactive administrator looking to work in a fast-paced corporate environment supporting senior leadership and day-to-day office operations.
About the Role
You will provide business and administrative support across the Sydney office, working closely with the CEO, senior managers and internal teams to ensure smooth day-to-day operations.
This is an initial 3-month contract opportunity with strong potential to transition into a permanent position. The role is based full-time onsite, 5 days per week, in Botany.
Key Responsibilities
- Coordinating schedules, arranging meetings, distributing memos and reports, and ensuring that everyone is kept current of necessary company news and information
- Managing CEO and Senior Managers diary, travel bookings and expense claims
- Provide assistance to the Senior Managers as necessary including travel bookings
- Ensuring all approved Company subscriptions are current
- Ensuring all customer invoices are paid within trading terms
- Coordinate special events and functions for the organisation
- Perform reception duties. Being the initial point of contact for visitors and play an important part in setting a positive first impression
- Provide support to, and perform, the required activities of the of the various business units
- Ensure time requirements are met for processing purchase requests on SAP
- Assist with the compilation of reports as required by the Company
- Provide support to meetings and hospitality activities as required
- Attend meetings, taking notes/formal minutes as required and report back to the Senior Management Team
Skills & Experience
- Previous experience in administration, office support, executive assistant, or business support roles
- Strong organisational and time management skills
- Excellent communication and stakeholder engagement abilities
- Ability to manage multiple priorities in a busy environment
- Strong Microsoft Office skills
- Experience with SAP or similar systems is highly regarded
- Defence, government, engineering, or professional services experience is advantageous
